How to Access ECGs

Guidelines from the EP lab for accessing CHPS ECGs

To request ECGs from the CHPS Cardiovascular Core, an eCHPS application must be submitted via eResearch. CHPS and IRB final approval are needed prior to use of the Core. A budget must also be prepared/approved through Clinical Trials Financial Management.

Once the application is approved by the CHPS Resource Committee, study teams are asked to schedule a start-up meeting with Anna May DeCerchio: 215-590-3181, decerchi [at] email.chop.edu (ECG/MUSE Coordinator) and Janis Hardill: 267-606-5230, hardillj [at] email.chop.edu (ECG Lab Supervisor) prior to scheduling research subjects.

Our Core will provide ECGs during normal business hours 8:30 am to 4:30 pm, Monday through Friday. Investigators have to make their own arrangements for ECGs after normal business hours.

Using eTRACK/OnCore
Budgeting, patient registration, and scheduling are tracked by the Research Institute via eTRACK/OnCore. Studies teams should ensure that:

  1. the eTRACK/OnCore budget reflects the ECG is being performed by the CHPS, and
  2. subjects are registered and scheduled in eTRACK/OnCore.

Please note, eTRACK/OnCore is a requirement of the Research Institute and is not administered by CHPS.

Instructions for Accessing CHPS Cardiovascular Core ECGs

  1. Study coordinator sends an email each week to Anna May DeCerchio (decerchi [at] email.chop.edu) detailing upcoming CHPS ECGs needed (or calls 215-590-3181 if the ECG is the test is arranged “last minute”). The email should include information identifying the research protocol, including: PI name, title of the study, CHPS protocol number, and subject demographic information including race, ethnicity, and gender.
  2. The study PI must place an ECG order in EPIC for Outpatient ECGs. Subjects will not be seen without the physician order. The study coordinator and subject go to the Cardiology Registration Desk. Once the registration is processed, the study coordinator will pick up the Cardiology Face Sheet and labels, and proceed to ECG lab.
  3. Anna May DeCerchio and/or Janis Hardill will inform the study coordinator when the report is available for pick-up.
  4. If an abnormal/critical ECG is identified, the PI of the study will be notified.
  5. The “original” and “confirmed” reports are given to the study coordinator. Anna May DeCerchio and/or Janis Hardill will send a copy of “confirmed” report to Audrey Kamrin.

Instructions for Accessing CHPS Cardiovascular Core ECGs for Inpatients

  1. The ECG order must be placed in EPIC. In the order, complete the “Indications” section to PI Name, Title of project and CHPS Number, and note “BEDSIDE”. The order will print out in Cardiology.
  2. If the subject is hospitalized for standard of care purposes (CHPS Category “B”), study coordinator calls RAC to “arrive” subject.
  3. If the subject is hospitalized for research only (CHPS Category “A”), subject does not have to be “arrived”.
  4. Anna May DeCerchio or Janis Hardill will inform the study coordinator when report is available for pick-up.
  5. If an abnormal/critical ECG is identified, the PI of the study will be notified.
  6. “Confirmed” report is sent by Cardiology to Medical Records. Janis/Anna May will send Audrey Kamrin the report Face page and worksheets.
